The useful design question is not only what the code opens. It is who owns that destination, who may access it, how changes are approved, and what people should do when a phone or network is unavailable.

State what opens and who it is for. Avoid broad wording such as scan for safety when the destination is only one document or form.

Use the format and material required by the project's print or labeling workflow. Keep the QR clear of folds, fasteners, edges, and visual clutter.

Test the installed code in real conditions

Use representative phones at the expected distance, angle, lighting, and network conditions. Confirm the destination, permissions, mobile behavior, and any form submission path.

Worked example: one site board, four controlled destinations

A contractor wants one information board near a controlled site entrance. The team first lists four separate jobs: visitor information, worker induction access, the current drawing portal, and issue reporting. Each destination has a different owner and permission model, so the team creates four separately labeled QR codes instead of one ambiguous code.

  • Visitor information: a public page owned by site administration, with no internal project files.
  • Induction access: the company's approved induction system, which handles identity, completion records, and access decisions.
  • Current drawings: an authenticated document portal owned by document control, not a copied PDF with an uncertain revision.
  • Report an issue: the approved form or system owned by the responsible project team, with its own privacy and routing controls.

The board names each action and includes the project's approved fallback contact. QRLynx manages the selected static or dynamic link. It does not merge the four records or decide whether a person completed a process.

Keep permissions in the destination system

A QR code makes a URL easier to open. It does not make a private destination public, and it should not be used to bypass authentication. Before installation, test the link while signed out and with each representative user role.

For drawings, equipment histories, issue forms, and project records, use the destination system's access controls. Avoid putting credentials, personal data, sensitive project identifiers, or security instructions in the QR payload or public label. If a resource must remain restricted, link to the controlled portal rather than to an unrestricted copied file.

QRLynx offers separate controls for use cases such as password-protected QR codes, but a QR-level gate does not replace the destination system's permissions or the project's information-governance process.

Maintain the code as a small managed asset

Give every installed QR a lifecycle record with its physical location, label purpose, destination owner, QRLynx owner, access model, fallback, and review trigger. Review it when the linked resource, project stage, ownership, permissions, domain, physical label, or surrounding conditions change.

A scan test should confirm that the code decodes and opens the intended path. The destination owner should separately confirm that the resource is current and appropriate for its audience. Remove or replace the label when its physical context ends, even if the URL still works.

What construction QR analytics can and cannot show

For a dynamic QR, QRLynx can report eligible redirect activity. This can help compare which boards or tags receive activity and when a code may need investigation. Add distinct codes when separate physical locations or assets need separate reporting.

A scan does not prove that a person read a document, completed induction, performed an inspection, received training, followed an instruction, or met a compliance requirement. Use the destination system's authenticated records and the project's approved evidence process for those outcomes. Treat QRLynx scan data as access activity, not as the operational record.

How do we protect construction drawings behind a QR code?

Link to the controlled document portal and keep its authentication, roles, revision handling, and audit records enabled. Test the QR while signed out and with representative roles. Avoid linking an unrestricted copied file when the drawing should remain controlled.

Can the destination change after the site sign is printed?

Yes, when the sign uses a saved dynamic QRLynx QR. An authorized account user can update its destination while the QR pattern stays the same. The project should still approve and test the new destination before relying on it.

How should construction QR codes be organized in QRLynx?
